Main Purpose and Function
The Collaboration Specialist is responsible for the architecture, configuration, administration and optimization of on-premises and cloud based collaboration and productivity solutions and related components, with a special focus on Microsoft SharePoint as well as Microsoft cloud based technologies including the Microsoft 365 platform and products (SharePoint Online, Teams, and OneDrive), Azure, Azure Active Directory and Power Platform. This includes supporting our organization-wide migration to SharePoint Online and Teams, configuring new implementations using administrative portals, related administration solutions, scripts, and implementing processes and procedures for ongoing management of the cloud environment.
Specific Duties/Responsibilities
- Builds and supports cloud-based services and solutions based on defined patterns.
- Works closely with team members, management, specialized TS areas and application support teams to ensure that solutions are built to deliver availability, reliability, and scalability.
- Creates and maintains Microsoft Teams, SharePoint Sites, and related M365 products, ensuring use of best patterns and practices.
- Develops and maintains frameworks and standards for SharePoint and Azure AD Group permissions, SharePoint sites, Hub sites, etc.
- Participates in development of Microsoft Teams and implementation of Microsoft 365 Groups architecture, standards, and integrations.
- Supports an enterprise-wide Microsoft 365 information architecture related to data management, content management, and service management.
- Creates forms with complex workflows and improves business process automations.
- Participates in key process improvements as they relate to the cloud environment.
- Develops PowerShell scripts to assist with the daily operations and enhancements.
- Monitors and troubleshoots Microsoft 365 operational and technical issues, liaises with other TS support professionals to ensure timely resolution and communicates issues and service disruptions.
- Manages and responds to tier 3 service requests and provides end user support as required.
- Develops and maintains architecture documentation and end user training materials as required.
- Collaborates with the team in analyzing, developing, testing, implementing and modifying solutions built using components of Microsoft Power Platform and other low-code platforms
- Assists in the implementation of Power Platform environments with a SharePoint Online site topology while applying best practices
- Maintains knowledge and capabilities of new products, techniques and features in the areas of Power Platform, low-code development and the Microsoft Cloud space
- Provides advice to the TS leadership team on governance, alternatives and solutions, product evaluation, and risk assessment of existing and future cloud solutions.
- Monitors Microsoft 365 system usage and optimizes performance.
- Performs user requirement analysis and collaborates with users to develop and build solutions that meet business needs and meet corporate standards.
- Trains and supports business champions ensuring best practices are used and corporate standards are adhered to.
- Works with project managers, vendors and consulting firms to configure, maintain, and evaluate the City’s M365 technologies.
- Perform other related duties/responsibilities as assigned.
Minimum Qualification Requirements
Education and Experience:
- Completion of two year diploma in computer science plus four years related experience, or an equivalent combination of training and experience
- Two years of relevant work experience in cloud solution administration in an enterprise environment or an equivalent combination of education and experience.
- Additional Microsoft certifications for Microsoft 365 or Azure considered an asset.
- Other Cloud provider certifications such as Amazon AWS or Google Compute would be an asset.
Knowledge, Skills and Abilities:
- Considerable knowledge of Azure technologies to support the Microsoft 365 line of business applications
- Considerable knowledge of in the design and administration of SharePoint and SharePoint Online environments
- Considerable knowledge of SharePoint and Active Directory security and integration
- Considerable knowledge of hybrid identity management with Azure Active Directory
- Considerable knowledge of workflow development using Microsoft 365
- Sound knowledge of scripting languages (Microsoft PowerShell, etc.)
- Sound knowledge of the functions of departments served and their requirements as applied to the work performed.
- Demonstrated ability to interpret customer issues, needs or processes with project initiators and develop appropriate solutions leveraging Power Platform services
- Knowledge of setting up PowerShell-type scripts for administration and task automation
- Working knowledge of the Microsoft Power platform (specifically Power Apps and Power Automate), and Azure components required to develop and administer customer solutions
- Practical knowledge of using methodologies (Scrum, Agile, Kanban) and tools (DevOps, Git)
- Understanding the Power Platform licensing model and limitations
- Ability to migrate data across different cloud environments or from on-premises infrastructure
- Ability to communicate effectively; foster high standards; deliver results in a fast-paced, performance-focused environment using excellent interpersonal, visual design presentation and written skills
- Ability to investigate and resolve complex client/server hardware and software problems, consulting with other technical staff and vendor technical specialists as required.
- Ability to customize, test and install new releases of, or enhancements to, operating systems software and application systems.
- Strong sense of accountability and commitment to end-user advocacy, with demonstrated ability to work under pressure, manage multiple priorities and respond to requests in a timely manner
- Ability to establish and maintain effective working relationships with a variety of internal and external contacts and to provide advice, information, and recommendations
Where operationally appropriate and subject to change, the City of Vancouver has a Flexible Work Program. This program allows staff to work remotely 1 – 4 days a week from locations that are a daily commutable distance from their work at a City worksite. At this time this position is eligible to be part of the Flexible Work Program.
